Type: Full-Time Non-Exempt (40 hours/week)

Reports To: Client Care Team Supervisor

Location: 6911 S Yosemite St, Centennial, CO 80112

Salary/Range (Commensurate with experience): $19-20/ hour


SUMMARY

The Client Care Coordinator is responsible for various clerical duties, providing high quality customer service to all clients, retrieving and forwarding voice messages, answering incoming calls, responding to caller questions and providing information, collecting payment and assisting with schedule changes.

 

DUTIES

· Greet all visitors and check-in clients in a polite and courteous manner

· Answer incoming calls and respond or forward to appropriate staff member

· Respond to messages from general voicemail box throughout the day

· Keep reception area, waiting room, and kitchen organized, clean and tidy

· Manage faxes, scans, and email

· Accept mail and packages and manage postage

· Respond to new client inquiries and follow up to schedule free intake call

· Work with head of therapy to oversee therapist schedules and communicate upcoming programs/events

· Onboard new clients and provide schedules/estimates to them

· Follow-up on client paperwork that is required before an appointment

· Assist clients with scheduling and changing appointments for intakes, evaluations and programs

· Ensure payment forms and collect payment when needed.

· Work with Medicaid families to ensure POC and PARs are kept to date and check eligibility

· Perform audit of appointment charges and payments received

· Manage online parent and self-report measures as needed

· Provide administrative support to other members of the clinic staff as needed

· Maintain Cash box and prepare deposits

· Prepare simple weekly reports

· Acquire and maintain current knowledge of STAR programs and services

· Assist out-of-town clients with accommodations when necessary

· Other duties and projects as assigned

 

QUALIFICATIONS

· Minimum 2 years administrative experience

· Computer literate, intranet, and web savvy
