The Executive Assistant is responsible for various clerical duties in support of the daily operation of the STAR Institute administration. The Executive Assistant is also responsible for providing direct assistance to Executive Director, which includes: high quality, timely support in the areas of daily scheduling and calendar maintenance, managing and responding to emails and phone calls, managing invoices and payments, and scheduling speaking engagements, webinars, and educational offerings. The Executive Assistant is also responsible for communicating with the Education, Operations, and Clinical teams on the Executive Directors behalf, as well as overall communication within and outside of STAR Institute. To thrive in this position the Executive Assistant must be highly organized, have outstanding verbal and non-verbal communication and interpersonal skills, and be an elite multi-tasker.
DUTIES
Administrative
- Daily scheduling of all meetings for Executive Director
- Review meeting requests with Executive Director and prioritize
- Communicate with individuals and organizations on behalf of Executive Director
- Coordinate multiple schedules and calendars
- Prepare necessary materials for meetings for Executive Director
- Troubleshoot computer/technical issues as they arise
- Make travel arrangements for Executive Director and other staff as necessary
- Facilitate media interviews, phone, and Zoom consultations
- Act a liaison between Executive Director and community and business partners
- Work with Operations Team to schedule and facilitate Annual Reviews
- Assist with other duties and projects as necessary
QUALIFICATIONS
- Bachelor’s degree or combination of undergraduate studies and related work experience
- Minimum of 3 years administrative experience
- Computer literate, intranet, internet, and web savvy
- Experienced in Microsoft Suite

Schedule: Monday to Thursday
Salary: $20-23/hour (dependent on experience)
Job Type: Part-time
